The Graphic/Web Design position provides graphic design for the Bay-Lakes Council, as well as maintenance of the council website.

Serves as the layout/design editor of the council's bi-monthly newsletter. Receives and enters articles for the newsletter. Prepares booklet designs, letterhead and envelope designs, and consults on design projects as requested.

Assists in completing work orders. This work may include design, layout, and typing. Prepares special projects including golf brochures, popcorn brochures, annual reports, Friends of Scouting pieces, etc.

Responsible for performing the secretarial and clerical services of the Finance Department, working closely with the Director of Finance Service. The position also completes clerical and support duties as assigned by the office manager.

Processes and maintains all records pertaining to the Order of the Arrow for the Council and Awase Lodge including dues renewal, OA elections, and event registrations such as Winter Banquet, Winter Conference, Spring Fix-It Day, Spring Conference at 5 sites, Fall Conference and Lodge Leadership Development.  Maintains registration files and provides support to Council training events including National Youth Leader Training, Cub Scout College, Arctic Adventure, Okpik, Leave No Trace, Wilderness First Aid, Spring and Fall Kayaking, and additional events such as the National Scout Jamboree and the Great Lakes Centennial Jamboree. Processes and maintains records for council camping programs including Bear Paw and Gardner Dam Summer Camp, Wolf River Adventures, and Jax Camp (short term).  Processes records for Summertime Pack Awards and the National Camping Award.  Provides support to the coordination of Boy Scout Summer Camp and Wolf River Adventure Leader’s Guides.

Provides customer service, including the handling of incoming phone calls and directing them to appropriate staff.  Receives Center for Scouting guests and directs them to correct area. Coordinates messages and information to “out of the office” staff. Takes registration or questions for certain district and/or council events. Reviews and processes local & national tour permits.

The Field Secretary provides secretarial and clerical support to the Director of Field Service. In addition, is responsible for filing work orders from the field staff.

Receives and completes work orders from the field. Assists with data entry for Membership and Friends of Scouting and with special projects including preparing program kick-off packets. Coordinates the preparation & processing of school surveys. Works with Learning for Life directors on mailings, flyers and requests.

Processes and maintains records for Eagle Scouts including project, service hours, and number of youth involved.

Assists with special mailings including labeling, stuffing and copying material as part of filling work orders.

Updates and maintains Merit Badge/Advancement records.

Responsible for performing the services of General Ledger and Accounts payable. Provides benefit information for council employees.

Assists in receipting mail and registration. Back-up as receptionist when needed. Fills large printing orders by operating the council’s Digital Duplicator. Prepares mailings for bulk and first class, including labeling, stuffing and copying material as part of filling work orders. Assists with special projects including preparing program kick-off, popcorn and Family Friends of Scouting packets.

Responsible for entering all youth and adult membership applications into the membership file system (Scoutnet), as well as entering data on the rechartering of all units in the council.

Maintains and provides up-to-date and accurate reports on all membership and unit related information. Processes and maintains monthly membership reports pertaining to registered units, youth and adults.

Prepares charter Renewal kits, as well as, prepares membership cards and charter certificates for all units and mails to appropriate adult leaders.

Responsible for performing a secretarial and clerical duties for the Scout executive and office operations.

Performs responsible secretarial functions such as reviewing mail, composing correspondence, obtaining and organizing information for use in conferences, speeches, etc. Receives visitors, arranges and maintains schedule of meetings and appointments, including travel arrangements. Prepares and maintains confidential files consisting of personnel records, correspondence, etc. Facilitates distribution of incoming mail and correspondence to proper persons. Responsible for agendas, notices and minutes for council Executive Board meetings, Executive Committee meetings and other meetings involving the Scout executive.

Serves as a member of Leadership team assisting in council operations. Prepares and makes phone call reminders for selected meetings involving the Scout executive.

Supervises office support staff, making sure duties are performed at a high level.

Processes and maintains records for council camping programs such as short term camping, Cub Scout and Webelos summer camps, cub day camps and family camps including Mom and Son, Dad and Lad, Grandparent and Me.  Maintains registration files and provides support to the preparation and coordination of council High Adventures excursions including Philmont, Florida Seabase, Northern Tier, Winter Amidships and Bay Jammer.  Maintains registration file and provides support to the coordination and preparation of council training events including Woodbadge, Baloo, and Hunter Safety.

Provides support to the coordination of Cub Scout, Webelos and Short Term camp guides. Handles medical insurance and worker’s comp paperwork for the Council.  Performs various tasks and supervises Support Staff in the absence of Office Manager.
